Privacy Policy
Last updated October 21, 2026
Organized Occasions ("we") helps people plan get-togethers and trips with one shared link, and it has no accounts. This policy explains what we keep, who can see it, and how to delete it.
What we collect
- Event details the host adds: the name, date, time, place, address, theme, bring list, itinerary, budget, venue details and similar planning notes.
- RSVPs: the name a guest gives, how many adults and kids are coming, the first names of people in their group, an optional note to the host, and an optional phone number for a group member.
- What guests add: sign-ups, game votes, notice board posts, photos, gift exchange choices, and places to stay they suggest.
- Photos: before a photo leaves your phone, the app resizes it and removes its location and camera details.
- Alert settings: the host's email address if they turn on email alerts, and a phone's push address if someone turns on phone alerts.
- Payments: if a host buys an Event Pass, Stripe tells us the payment went through. We never see or store card numbers.
- Basic technical logs: our hosting and database providers keep short-lived logs, like IP addresses and error reports, to keep the service running and secure.
- On your phone only: your private links, the events you've opened, and display preferences. These stay in your browser's storage and never reach us.
We don't sell or rent your information, show ads, or use advertising or tracking cookies.
How we use it
- To show the event to the people it's shared with, and to save RSVPs, sign-ups and posts.
- To send the alerts people turn on: RSVP and post emails to the host, and phone reminders and updates.
- To power the smart helper features a host chooses to use, like drafting a plan or summarizing the notice board.
- To process Event Pass payments and refunds.
- To fix problems and prevent abuse.
Who can see what
- Anyone with an event's guest link can see the invite: the name, date, place and theme. The rest of the plan opens after they RSVP.
- Phone numbers, notes to the host, the host's email, the budget and venue details are visible only to the host.
- Cost splits and event photos are visible only to the host and guests who RSVP'd. Each photo is stored at a long random web address that isn't listed anywhere, so anyone given that exact address could open it.
- Anyone with the host link can see and edit everything in the event, so hosts should keep that link private.
Services we use
We share only what each service needs to do its job:
- Supabase stores event data and photos.
- Vercel hosts the website and keeps basic request logs.
- Resend sends email alerts, using the host's email and the alert text.
- Stripe processes Event Pass payments with the details you enter on Stripe's page.
- Anthropic (Claude) powers the smart helper features and receives the event description, notice board posts or other text the host asks it to work on.
- Open-Meteo and Photon provide weather and place suggestions and receive the event's town or the place being typed.
- Google Fonts provides the typefaces and sees your device's IP address when the page loads.
How long we keep it, and how to delete it
- Event data stays until the host deletes the event. Deleting an event erases its RSVPs, sign-ups, posts, photos and everything else in it.
- A guest can delete their own RSVP and everything they added at any time, with Delete my RSVP and details on the event.
- Phone alerts stop when you turn them off or remove the app, and addresses that stop working are removed automatically.
- To ask us to delete anything else, write to support@organizedoccasions.app. We'll do it within 30 days.
Your choices and rights
Wherever you live, you can ask to see, correct or delete information about you by writing to support@organizedoccasions.app. Because there are no accounts, tell us the event and the name you used so we can find it. Residents of California, the European Economic Area and the UK have these rights under their laws, and we honor them for everyone.
Children
Organized Occasions is meant for adults planning events. People under 13 shouldn't use it on their own. Parents may list their children's first names in an RSVP. If you believe a child has given us information directly, contact us and we'll delete it.
Security
Data is sent over encrypted connections and stored with access rules, so guests can only change their own RSVP and only the host link can edit the event. No system is perfectly secure, so share host links with care.
Changes and contact
If this policy changes, we'll update the date at the top. For anything significant, we'll post a notice on the site. Questions or requests: support@organizedoccasions.app.
